Limited Money-Back Guarantee
Subflow offers a money-back guarantee that is scaled to how much you have used the product. This policy is designed to give you a fair chance to evaluate Subflow without risk, while protecting Subflow from abuse of free transcription credits.
You are entitled to a full refund if:
- You request the refund within 7 days of your original purchase AND you have used zero transcription minutes, OR
- You request the refund within 30 days of your original purchase AND you have used 10 minutes or less of transcription since you activated your license.
If your refund request meets either of these conditions, we will approve it without further questions.
Outside of these windows:
Refund requests submitted more than 30 days after purchase, or after you have used more than 10 minutes of transcription, are reviewed on a case-by-case basis and may be refused. We will consider each request fairly, but we cannot guarantee approval.
Statutory consumer rights
This policy does not limit any statutory consumer rights that apply under your local law. For example, if you are a consumer in the European Union or the United Kingdom, you may have additional rights under consumer protection directives — those rights always apply regardless of our voluntary policy.
Why This Policy
Subflow is a consumption-based service: every minute of transcription we process costs us a real amount of money paid to our speech-to-text provider. A customer who uses the full monthly allowance and then requests a refund has effectively used the product for free at our direct expense. This policy lets genuine evaluation happen (you can cancel within 30 days if you used very little) while protecting us from that kind of abuse.
How to Request a Refund
You can request a refund in either of the following ways:
- Email us at [email protected] with your license key or the email address you used at checkout. We will verify eligibility and process your refund through Dodo Payments within 2 business days.
- Use the Dodo Payments buyer portal — the link is included in your purchase confirmation email from Dodo Payments. You can request a refund directly through their buyer support tools.
Either route works; choose whichever is easier for you.
How Refunds Are Processed
All payments for Subflow are handled by Dodo Payments, our Merchant of Record. This means:
- Dodo Payments is the legal seller on your receipt.
- Dodo Payments processes the actual refund back to your original payment method.
- Subflow (the product creator) is responsible for approving the refund according to this policy.
- Dodo Payments handles all tax adjustments (VAT, GST, sales tax) associated with the refund.
Approved refunds are processed by Dodo Payments to the original payment method where possible. Refund timing depends on your payment method and bank, but is typically completed within 5–10 business days of approval.
Subscription Renewals (After the First Billing Period)
Your subscription will automatically renew at the end of each billing period until you cancel. The money-back guarantee applies only to your first purchase; renewal charges are not automatically refundable.
If you forgot to cancel before a renewal charged you, contact us at [email protected] within 14 days of the renewal date. We will review your request on a case-by-case basis and generally honor requests made in good faith where the product was not used after the renewal.
How to Cancel a Subscription
You can cancel future renewals at any time:
- Through the billing portal link provided in your purchase confirmation email from Dodo Payments
- By emailing [email protected] — we will process the cancellation for you
Cancellation stops all future charges. Your access remains active until the end of the current billing period you have already paid for, unless you also request a refund under this policy.
Effect of a Refund on Your Access
If a refund is issued for your subscription:
- Your license key is immediately revoked.
- Access to transcription, license activation, and software updates is terminated.
- Any active device bindings are removed.
- You may not reactivate the same license key after a refund.
If you wish to resume using Subflow after a refund, you may purchase a new subscription at any time.
What Is Not Refundable
The following are not eligible for automatic refund under this policy (case-by-case review still applies):
- Purchases where you have used more than 10 minutes of transcription, after the 7-day window
- Subscription renewal charges (except under the 14-day good-faith review above)
- Purchases made more than 30 days ago
- Requests based on claims that contradict our advertised feature set, where the feature was clearly documented as out of scope or not yet implemented
